Safety Procedures at the Department of Asian and Middle Eastern Studies.

In case of emergency: Call 112

SOS alarm – for acute emergencies involving threat to life, health, or property to summon/notify fire services, ambulance, police, or poison control.

Call security guard: 08-16 42 00 (if the switchboard is down – backup number: 08-15 42 00).

Fire Safety

All premises must be evacuated before critical conditions occur during a fire or threat situation. Critical conditions mean a risk to human life and health. In case of fire, everyone must immediately begin evacuation via marked safe routes to safety.

Evacuate without delay when the fire alarm sounds or when there is a risk to life or health, or when evacuation orders are given by police, fire services, or your evacuation leader.

Assembly Point

After full evacuation, all persons who have been in the building where the fire is must gather at a predetermined assembly point. The place you should go to is marked on the evacuation plans posted on the wall where you work or are temporarily located. The assembly point for staff and visitors in the department's premises (building F6) is in the parking lot outside building F.

Fire Safety Officer and Evacuation Leaders

Johan Fresk (room F652, at the end of the corridor facing the parking lot).
Margarita Shiraishi (Admin room in the middle of the corridor).

Defibrillator

In building F, the nearest defibrillator is in the stairwell, entrance, 4th floor on the wall.

When you take the defibrillator out of the cabinet, staff responsible for security and the guard trained in CPR with defibrillation (D-CPR) are alerted.

When you start CPR, call 112 and send someone to meet the ambulance.

Stockholm University has several defibrillators placed around campus.

Advice in the event of an attack

The risk of Stockholm University being subjected to an attack is very low. Here you will find guidance on how to act should one nevertheless occur.

Advice in the event of an attack

This crisis plan is intended for use when one or more staff members and/or the entire department or student(s) have been affected by a crisis. This may include sudden death, illness, accidents, violence or threats of violence, fire, terrorist acts, etc. It may also involve a serious incident affecting other parts of Stockholm University that has an impact on the department’s operations and/or its staff.

In the event of a crisis, the priorities are always as follows:

  1. Save lives
  2. Raise the alarm
  3. Look after those affected.

The University’s central crisis information for staff

In the acute phase, it is important to…

  • Stop
  • Think
  • Act
  • Tackle problems one at a time
  • Seek help from others nearby.

In the event of a cardiac arrest, it is vital to restart the heart as quickly as possible. The brain can only survive for a few minutes without oxygen before brain damage begins to occur.

Defibrillators are located in several places on campus. See map.

The defibrillator is housed in an alarm-equipped cabinet. When the door is opened, the cabinet alerts staff at the Security Section and the security guard, who are trained in D-CPR.

In addition to the above, the following measures should also be taken:

  • Cordon off the area to provide peace and quiet for those affected.
  • Facilitate the work of the police and emergency services by not moving anything.
  • Make it easy for the emergency services to find their way to the scene. Please go out to meet them and show them the way.
  • Ask all witnesses to the incident to remain at the scene until the police have arrived.
  • Inform the security guard, the head of department/manager and the Security Section (Sfs) as soon as possible.
  • Contact the Security Department and/or the Human Resources Department for support and advice.

After emergency response, or if no emergency response is required

Contact the Security Section (a sub-division of the Property Department) for support and advice; telephone number below. Consult the occupational health service (Avonova Hälsa) regarding any measures to support staff.

Inform

First inform those most directly affected, then the rest of the staff. A folder containing details of next of kin is kept in a cupboard behind the administrative manager’s desk. If this has not already been done, the university management should be informed if necessary.

Information is intended to counter rumours. The same information must be provided regardless of who is giving it or to whom. Anything else will only cause confusion. It is therefore of the utmost importance that all information is provided by a single person, or that those providing information have coordinated their messages before doing so.

Inform the media if necessary

It is best if one person is appointed to handle all external communications and that everyone refers to that person.

Telephone list

Contact the Head of Department first, the Acting Head of Department second, and so on down the list:

Head of Department Gunnar Linder 08-16 37 88
Acting Head of Department Astrid Ottosson al Bitar 08-16 15 91
Head of Administration Anneli Hilmersson 08-16 15 31

The teacher’s role in the classroom

It is important to remember that in a crisis situation, it is the teacher’s duty to help and lead as far as possible. The last thing a teacher should do in a crisis situation is to remain passive. A passive teacher easily leads to passive students, which may ultimately result in no action being taken, or the wrong action being taken. In a crisis situation, the first decision that needs to be made is whether to call for help. If necessary, call for help yourself or ask one of the students to do so. In the event of a more serious medical emergency, it may be advisable to send the other students away to ensure peace and quiet in the room; however, before doing so, it is a good idea to ask if any of the students have medical training and can assist.

What should I do if…

…an employee or student has died on campus?

  1. Inform the Security Section, the Head of Department and the Dean. The Security Section will then contact the other relevant parties.
  2. The Head of Communications shall inform the switchboard that only the Head of Department and the Head of Communications will respond to enquiries from the media.
  3. If the death was caused by an accident, inform the Swedish Work Environment Authority in Stockholm. This applies to both students and staff. You can also submit a report directly via the IA system.
  4. Gather the relevant staff and/or students and inform them of what has happened. Assess the situation and offer help or support to those affected who need it. Such support is provided through the Human Resources Department or Student Health Services. Listen actively and be responsive to individuals’ different needs.
  5. Information to next of kin is normally provided by the police or the doctor who certified the death. If this does not happen, a parish priest, district nurse or other support person may deliver the news of the death. If in doubt, contact the Human Resources Department. PLEASE NOTE! The news of a death must never be delivered by a member of staff!
  6. Review the work situation and assess what measures need to be taken initially to ensure that operations can continue satisfactorily.
  7. Maintain contact with the bereaved. If a colleague or student was present at the time of death, offer the bereaved the opportunity to meet with them. However, be very mindful of this and try to assess whether the colleague or student can manage such a meeting without being adversely affected by it. If in doubt, contact Student Health Services or the occupational health service for advice.
  8. Find out if there are any specific questions regarding the incident and what wishes there are regarding how to honour the deceased.
  9. If there are no specific requests from the family, the deceased will be honoured at the funeral with a wreath bearing a ribbon in the colours of Stockholm University. As the manager, you are responsible for ordering and arranging the delivery of the wreath. You should also attend the funeral service. Who else attends can only be decided by each individual, unless the next of kin have declined condolences. If an employee has passed away, please also inform them that the Human Resources Department will be in touch to provide information regarding pension, insurance and so on. In such cases, you, as the manager, may also need to ask a relative to come to the workplace to collect the deceased’s personal belongings.
  10. The Head of Department/Dean (or equivalent) decides whether the deceased should be honoured with a memorial service.
  11. Contact the IT Department to ensure that the employee’s personal data is removed from the email system and SUKAT.

…an employee or student is involved in a serious accident on campus?

  1. Inform the Safety Section, the Head of Department (or equivalent) and the Dean. The Head of Safety will then make the necessary contacts with other relevant parties.
  2. The Head of Communications (Faculty of Humanities) instructs the switchboard that only the Head of Department and the Head of Communications are to answer questions from the media.
  3. Ensure that someone convenes a meeting with the relevant staff and/or students as soon as possible to provide information.
  4. The Head of Department informs the relatives of what has happened. The Human Resources Department can assist with this.
  5. Gather the relevant staff and/or students and inform them of what has happened.
  6. If the injury was caused by an accident, inform the Swedish Work Environment Authority in Stockholm. You can also submit a report directly via the IA system.
  7. Inform the switchboard that incoming calls to the injured person should be redirected, or switch off the person’s phone to prevent incoming calls.
  8. Review the work situation and assess what measures must be taken initially to ensure that operations can continue satisfactorily.

…I have been the victim of a crime on Stockholm University’s campus?

If it is an emergency and the perpetrator is nearby, call the police on 112. In less urgent cases, you can choose to call the campus security guards. If possible, note down what the person is wearing, their height, build, whether they were carrying anything, and any other distinguishing features. If the matter is not urgent, contact the Security Section (Sfs) for support and assistance. Sfs can also help you file a police report and contact the police.

…how do I contact security guards in the evenings, at night and at weekends?

Call 08-16 42 00.

…what if a student is disrupting a lesson?

As a teacher, you have the right to ask the student to leave the room. If the student refuses, call security (08-16 22 16, in the evenings 08-16 42 00). The incident must be reported to the Head of Department, who will in turn report it to the Disciplinary Board for action.

…if a student appears to be struggling with their mental health?

Refer them to Student Health Services.
