Civis mobilities are administered within the framework of a central-level exchange agreement. Incoming and outgoing Civis course participants are handled as exchange students. The exchange coordinators administer the exchange students at the department.

Systems and digitalisation of the Erasmus+ program

Digitalisation and implementation of several new systems for the management of international mobility are ongoing.

Stockholm University is in the process of implementing a new system for administration of international mobility. The goal of the system is to simplify and streamline processes and routines for international mobility management throughout the university. When the new system is fully implemented, it aims to be a complete tool for managing mobility. International coordinators are authorised in Mobility Online after completing the training.

The European Commission aims to digitise the administrative processes for Erasmus+ mobility. For example, the Learning Agreement for student exchange and Erasmus+ Inter-Institutional Agreements are signed digitally via the system that the respective HEI has chosen to connect to the Erasmus Without Paper network. Stockholm University uses Mobility Online for signing digital Erasmus+ Inter-Institutional Agreements and management of outgoing exchange students, including Digital Learning Agreements. Incoming students are planned to also be managed in Mobility Online, starting from spring semester 2026 for students applying to come to Stockholm during the autumn semester 2026 (this work is ongoing).

The Learning Agreement for student exchange to Erasmus+ program countries must be signed digitally via Erasmus Without Paper. Stockholm Univesity uses Mobility Online to connect to the Erasmus Without Paper network and exchange Digital Learning Agreements.

The EWP Dashboard at SU was shut down completely on September 30, 2024, and we have since transitioned entirely to Mobility Online for Digital Learning Agreements. All learning agreements for incoming and outgoing mobility are currently exchanged digitally via Mobility Online, except for short-term mobility/BIP. Work is ongoing for short-term mobility/BIP.

The role of exchange coordinator at the department

The exchange coordinator is responsible for:

  • Responsible for signing new departmental exchange agreements. As an exchange coordinator, you should work to develop new agreements, draft agreement proposals, etc...
  • Administer existing departmental exchange agreements: check balance and expiration date, administer agreement renewals.
  • Participate in the Exchange Coordinator meetings organised by the International Office.
  • If possible, you can participate in external conferences and/or make contact trips.
  • Information and marketing of exchange studies/traineeships for students, teachers and staff.

  • Study guidance regarding exchange studies/traineeships.
  • Announcement of the department exchange spots.
  • Preliminary course approvals for outgoing students before the exchange (exchange coordinators need to do this even when the students go on exchanges via central agreements).
  • Processing nominations and applications of exchange students (selection based on applicable eligibility requirements and selection criteria, nominations to the partner university, communication with the respective students and the partner university, etc...).
  • Information to students about scholarships (example: Erasmus+)
  • Support students during the application process (to the partner university).
  • Administration of Kammarkollegiet insurance (issuing insurance certificates to students, providing support when reporting claims).
  • Admission and registration of exchange studies in Ladok.
  • Administration of credit transfer and learning agreements.
  • Follow-up of the exchange studies (i.e. student reports, statistics).

  • Provide information to partner universities about the application procedure, deadlines, course offerings, Swedish course, etc...
  • Receive nominations from partner universities.
  • Process applications: check eligibility requirements and issue acceptance letters.
  • Information to students about the application process, course selection, and housing.
  • Course admission and registration of incoming students in Ladok.
  • Sign various forms, such as Certificate of Attendance.

Instructions for signing exchange agreements

The main purpose of exchange agreements is to strengthen the quality of research and education. This also strengthens the university's competitiveness internationally and nationally. International exchange in education and research is also important for strengthening development, democratisation and modernisation processes.

The International Office organises various meetings, networks and events for staff working with internationalisation.

The invitation with a registration link is sent out via the email list used to communicate with exchange coordinators.
