Arrange a blended intensive program (BIP)
Together with at least two other universities from two other program countries, Higher Education Institutions (HEI) can organize and deliver a blended intensive programme (BIP), jointly developed and offered teaching/learning projects.
BIPs are short, intensive mobility programmes that use innovative methods for learning and teaching, including online cooperation.
The programmes are developed and implemented by at least three Higher Education Institutions with an Erasmus Charter for Higher Education (ECHE), from at least three programme countries (EU Member State or third countries associated to the programme).
Blended intensive programmes should have an added value compared to existing programs and courses, should be transdisciplinary and problem-solving and should address societal challenges and sustainability goals.
BIPs can be designed for groups of students and/or staff leaners and combine a physical mobility with a virtual component, before, during and/or after the physical mobility period. A blended mobility for studies must award a minimum of 3 ECTS (physical and virtual component combined).
Structure
- At least 3 higher education institutions (HEI) from 3 different program countries (EU Member States and third countries associated to the Programme) enter into a partnership to jointly develop, prepare and organise a BIP (one coordinating HEI that applies for Erasmus+ BIP-funding).
- The coordinating HEI in the BIP partnership host the participants (coordinating university and receiving university by default) and is responsible for the overall BIP coordination.
- Joint course/activity that includes:
- physical mobility 5-30 days in the host country,
- a virtual component, bringing together learners online to work collectively (before, during and/or after the physical mobility part).
- physical mobility 5-30 days in the host country,
- Award at least 3 ECTS credits for students.
- At least 3 ECTS (for students)
- Minimum of 10 Erasmus+ mobile learners (with an Erasmus+ grant, excluding teaching participants and local students/staff).
- Mobile participants (students and teachers) apply for Erasmus+ funding via the home institution – an exchange agreement need to be in place.
- The BIP-administration and participation in the partnership need to be agreed on at the departmental level and approved by the Head of department.

Agreement
To be able to send or receive participants in a BIP a valid Erasmus agreement including blended mobility need to be in place between the sending and receiving higher education institution (signed digitally via EWP). Higher education institutions in the BIP collaboration can also sign a multilateral Erasmus agreement (paper version).

Funding
Blended intensive programs are financed through the Erasmus funds that universities with an ECHE (Erasmus Charter for Higher Education) can apply for each year.
Students and staff participating in a BIP can apply for an Erasmus+ grant for the physical mobility, provided that the requirements for Erasmus+ mobility are met.
The coordinating HEI submits a funding request for BIP organisational support for the planned BIP under the annual Erasmus+ call. BIP-OS funding is allocated, after successfully completion of the BIP, based on the number of participants reported (with a minimum of 10 mobile participants, maximum of OS-funding cut at 20 mobile participants à 400€, thus between 4000-8000 euro), provided that the requirements are met. Sending institutions enter their mobile BIP participants in the IT Beneficiary Module (BM) and connect them to the relevant BIP.
Organisational support is intended to cover costs related to the preparation, design, development, implementation and follow-up of the programme, as well as the implementation of the virtual/remote activities and the general coordination and management of the BIP.
Funds can be used for example for production of documents and educational material, rent (venue), rental of equipment, entrance fees, field trips, excursions, communication activities, translation, administrative tasks.
Departments who want to coordinate a BIP
Departments that want to coordinate a BIP need to apply to the Erasmus Office no later than 31 December for BIP:s that are planned to be implemented the upcoming year.
Coordination of a BIP will involve different people and functions at the department, i.e. exchange coordinator, financial officer etc. It is therefore important to firmly establish the project internally and to get the project approved at departmental level. The application needs to be approved and signed by the Head of department and the assigned BIP-project coordinator.
The department is responsible for formally establishing the BIP as a course at Stockholm University (by decision on the establishment and adoption of a syllabus). This applies to courses on 1st and 2nd cycles. For courses at 3rd cycle a course plan or course description can be decided in accordance with the normal routines at the department. To allow enough time for these administrative procedures, contact the responsible faculty office as early as possible.
Incoming students are administered as exchange students by the department's international coordinator and the students are registered as usual for exchanges studies in Ladok.

For incoming teachers who teach in a BIP with campus-based mobility at SU within the framework of Erasmus+ teacher mobility (STA), the department is responsible for practical preparations and reception.

Departments who want to participate in a BIP
Departments who want to participate in a BIP-partnership and send participants must submit an application to participate in a BIP to the Erasmus Office as early as possible and no later than three months before the start of the BIP

The application needs to be approved and signed by the Head of department and the assigned BIP-project coordinator at the department.
Students who want to participate in a BIP apply for student mobility for studies and the Erasmus+ grant via the application portal in Mobility Online, according to the internal procedures. Deadline for the grant application is no later than six weeks prior to the start of the BIP (physical and virtual mobility combined).
Outgoing exchange students participating in a BIP are administered by the department’s international coordinator and are registered in Ladok for exchange studies, following the regular administrative procedures for exchange studies.

Reporting
The coordinating higher education institution reports on the activities and achievements in the Beneficiary Module (BM). The sending institution enters the mobilities of the blended intensive programme participants in their respective granted project in Beneficiary Module (BM) and likes them to the relevant BIP.
In the final report, the implementation of the BIP will be scored and form the basis for distribution in the next call.
Blended intensive programs (BIP) within CIVIS
The CIVIS educational strategy to establish and develop collaborative academic initiatives has led to more than 250 BIPs and thousands of participating students. Through CIVIS, teachers can easily find other academics to collaborate with and through the CIVIS platform, the course becomes accessible to all eligible students at the CIVIS universities.

What is a CIVIS BIP?
Within CIVIS, teachers at Stockholm University can easily find academics at other partner universities to plan and organise blended intensive programs (BIPs) with. This means a short course including both a physical part, of a maximum of five days, and a virtual part. Within CIVIS, the credit limit for a BIP is usually 3 – 6 ECTS. If teachers want to give a BIP with a higher number of credits (maximum 9), specific terms apply.
A prerequisite for participation is that it is well-established according to standard routines and practices at the department concerned already in the planning and before the application to CIVIS is submitted. Another prerequisite is that the BIP is given together with at least two other CIVIS universities in the Erasmus program countries and that at least 10 students with Erasmus grant from other CIVIS universities participate.
Financing
Students, teachers and staff participating in a mobility within the BIP, can apply for an Erasmus grant for the physical part of the course.
After the BIP is completed and reported, the coordinating department can be granted 4,000 -8,000 Euros in organisational support for planning and implementation, depending on the number of students participating. A prerequisite for this financial support is that at least 10 students undertake an Erasmus mobility. For the maximum amount, at least 20 incoming students with an Erasmus grant are required. Local income for full-year students and full-year achievements may be added, see below.
Specifics for teachers at Stockholm University
The following applies to applications regardless of whether a department at Stockholm University is the coordinator or co-organiser of the CIVIS BIP:
- Remember to anchor your participation in a BIP with the head of department already in the planning phase and before the application is submitted to CIVIS. One reason is how commitment should be included in working hours and possible financial aspects.
- When a BIP has been granted within CIVIS, internal procedures for BIPs at SU need to be followed. The head of department must sign the application for funding.
Coordinating and creating a CIVIS BIP at Stockholm University
Special requirements apply to applications where Stockholm University is the coordinator and issues the ECTS:
- The course should be credit-bearing (3–6 HP). For higher credit numbers (max. 9), special clarification per credit in the course syllabus applies.
- The BIP should be formally established as a course at Stockholm University (by decision on the establishment and adoption of a syllabus). This applies to courses on 1st and 2nd cycles. For courses at 3rd cycle a course plan or course description can be decided in accordance with the normal routines at the department. To allow enough time for these administrative procedures, contact the responsible faculty office as early as possible.
- The content of the BIP should be suitable for one of the following five interdisciplinary thematic areas of CIVIS:
- Hub 1 Climate, Environment and Energy
- Hub 2 Society, Culture and Cultural Heritage
- Hub 3 Health
- Hub 4 Cities, Territories and Mobility
- Hub 5 Digital and Technological Development
- The director of studies and international coordinator in the department are particularly concerned. It is necessary that the teacher applying for a BIP coordinates this with their department before submitting the application.
- Regardless if the Stockholm University department is coordinating or co-participating, the internal administrative procedures follow.
Administration of student mobility (in Swedish). - Granted BIP courses are not advertised on universityadmissions.se, but on the CIVIS platform where eligible students from CIVIS universities, including Stockholm University, apply for the courses. Selection is made jointly by the course teachers. Stockholm University’s rules for admission and selection criteria must be met even if the application is not made via antagning.se. Students are admitted in Ladok by the department which will thus receive income for full-year students and full-year achievements respectively.
Keys to Succes
Coordinate with the head of department, director of studies and international coordinator (or equivalent) early on. Several people in the department are involved when coordinating a BIP.
A BIP is an excellent opportunity to obtain funding for a second edition of an existing course or for developing a CIVIS activity into a formal course. BIPs also make it possible to initiate new collaborations with colleagues at the other CIVIS partner universities.
