International mobility for teachers

Stockholm University shall, according to the long-term plan, strengthen its international position by increased internationalisation. Below you can find information about international mobility and cooperation opportunities for academic staff at Stockholm University.

Erasmus+ Staff Mobility for Teaching (STA)

As a teacher at Stockholm University, you have the opportunity to apply for Erasmus+ funding to spend a time teaching at a European partner university through the Erasmus+ programme. Take the chance to meet colleagues abroad, share knowledge and develop both professionally and personally!

Applications are accepted on a rolling basis, first come first serve, but must be submitted no later than 6 weeks prior to the mobility start date (for blended mobility no later than 6 weeks prior to the virtual and physical start date).

Application period: 1 August - 15 June. No applications will be processed during summer.

  • You are employed at Stockholm University.
  • Your Head of Department has approved the teaching activity and mobility abroad, since costs not covered by Erasmus+ need to be covered by the department (you are travelling on official business).
  • There must be a valid Erasmus+ Inter-institutional Agreement (including teaching mobility) between sending and receiving institution. Erasmus+ agreements (including teaching mobility
  • Duration of the mobility activity: 2 - 60 working days (excluding travel time). For staff mobility to the University of Glasgow or the University of Lausanne within Civis, the minimum duration is 5 working days (excluding travel time).
  • Minimum of 8 teaching hours per week at the host institution. If the mobility lasts longer than one week, the minimum number of teaching hours for an incomplete week should be proportional to the duration of that week (1,6 h/day). Although teachers are encouraged to engage in other activities whilst they are visiting, time for e.g. higher seminars, research and skills development may not be included in the teaching hours.
  • Activities: all type of teaching at bachelor, master or PhD-level, where the teacher is physically present at the host institution, such as lectures, seminars and/or workshops (leading), mentoring activities with students and examinations.
  • If the teaching activity is combined with a learning activity, a minimum of 4 teaching hours applies and the Mobility Agreement needs to be adjusted accordingly.
  • You must submit a complete application including Mobility Agreement no later than 6 weeks prior to the mobility (virtual and/or physical) start date.
  • You must submit a report and other supporting documents within one month after the end of the mobility.
  • The travel must be booked according to the procedures for business trips at SU.
  • You maintain your salary from SU during your mobility.
  • The mobility is not financed by other EU-funds (no double financing).

UK and Switzerland are not participating in Erasmus+. However, you can apply for Erasmus+ funding for staff mobility to the Civis partner universities University of Glasgow (UK) and University of Lausanne (CH), provided that funding is available and the conditions are met.

When participating in a Staff Mobility for Teaching, the department will receive a contribution from Erasmus+ to cover some of the costs for your mobility. The Erasmus+ grant is a contribution to costs for travel, accommodation and subsistence during the time abroad and is not meant to cover all costs for the mobility. Any costs not covered by the Erasmus+ grant shall be paid by the department/unit.

The Erasmus+ grant consist of two parts, a flat-rate amount for daily subsistence allowance and travel support. The grant will be paid to the department/unit after the mobility is completed and the supporting documents have been submitted. No contribution is paid directly to the participant.

Extra funding is available via the Erasmus+ inclusion support for participants with special needs, if additional costs occur in connection with the mobility. Contact the Erasmus+ team at the International Office, Student Services, for more information: erasmusutbyte@su.se

Amount 2: Travel support – Contribution to the travel costs

The travel allowance is determined by the length of the journey, calculated using the Distance calculator on the Erasmus+ website.

In the Distance calculator, you enter your place of departure and your destination. The calculated distance is the one you use to read the table below (i.e. you measure one direction, but the amount for Standard travel/Green travel covers the contribution for a round-trip).

Green Travel Grant

Participants are encouraged to choose more environmentally friendly travel options. Erasmus+ provides a top up for green travel, se information below. In addition to the green travel top up, the participant can receive individual support for up to 6 travel days (up to 3 days before and up to 3 days after the mobility), if necessary.

About travelling on official business

Policy for meetings and travel

When travelling on official business on behalf of Stockholm University, you are covered by the Swedish state business travel insurance. Contact the responsible person at your department/unit for more information about the insurance and the insurance certificate.

Make sure to bring a valid European Health Insurance Card from Försäkringskassan with you during your exchange.

Applications for Erasmus+ Staff Mobility for Teaching must be submitted no later than 6 weeks prior to the mobility start date (virtual and/or physical mobility).

Application period: 1 August - 15 June (no applications will be processed during summer).

  1. Check if there is a valid exchange agreement in place for your mobility - contact the international coordinator at your home department.
  2. Get the mobility and teaching activities abroad approved by your Head of department. The Head of department needs to approve the teaching activities and mobility/business travel as any costs not covered by the Erasmus+ grant need to be covered by the department.
  3. Online-application in the Erasmus+ portal. In the Erasmus+ portal you can find a Checklist, Mobility-Agreement SU-template and a link to the online-application form.

  4. Mobility Agreement. Download the Mobility Agreement for Teaching (SU-template) in the Erasmus+ portal. Fill in the document and get it signed by all parties (participant, Head of department, receiving organisation).
  5. Erasmus+ Staff Mobility – Online Application form. Complete the online-application form in the Erasmus+ portal, upload a copy of your fully completed and signed Mobility Agreement and submit your application.
  6. After submitting the online-form, you will receive a confirmation e-mail. Forward the email to erasmusutbyte@su.se to complete your application.

Applications need to be submitted no later than 6 weeks prior to the planned start date.

The normal wait time to receive a decision is approximately two weeks after a complete application has been submitted.

Erasmus funds are limited and are granted on a first come first serve basis. Priority is given to applicants who have not previously been granted funds for Erasmus+ Staff Mobility

During the mobility:

  • Before travelling home, at the end of the mobility, make sure to get your Certificate of Attendance signed by the receiving organisation. The document template is available for download in the Erasmus+ portal.

After the mobility:

  • Fill out an online survey - Erasmus Participant Survey. A link to the survey will be sent to your email after the mobility.
  • Submit your travel expenses report in Primula. Allowances are paid according to SU:s rules on travel allowance. The contribution from Erasmus+ is paid to the department, not directly to the participant.
  • Submit your Certificate of Attendance together with your travel tickets for both outward and return journey in the Erasmus+ portal.
  • Ask the financial officer at your department to send an accounting order (BFO) to the Student Services (670), no later than one month after the end of the mobility, once you submitted your Certificate of Attendance and final documentation.
