Vacation
As an employee, you can find information on vacation below. You apply for vacation in the Primula HR system.
How many vacation days are you entitled to?
As an employee at Stockholm University, you are entitled to different amounts of vacation days depending on your age.
As a full-time employee, you have this many vacation days in a calendar year:
- 28 vacation days – up to and including the year you turn 29
- 31 vacation days – from the year you turn 30
- 35 vacation days – from the year you turn 40
You can already take paid vacation during your first year of employment. To get fully paid vacation in a calendar year, you must be employed for the whole year. If you are employed for part of a calendar year, you will receive fewer paid vacation. This also applies if you are on unpaid leave. If you change jobs within the University, any vacancy days you have left will be transferred to your new job.
You can only take full vacation days. Part-day holidays always count as a full vacation day.
You do not need to take vacation on the following days
- Saturdays and Sundays
- public holidays
- Midsummer's Eve, Christmas Eve and New Year's Eve
- Maundy Thursday and bridge days (for technical and administrative staff)
Unpaid vacation
If you are not entitled to fully paid vacation, you are entitled to unpaid vacation. Your total vacation, paid and unpaid, will then amount to 25 days. If you start your employment after 1 September, you are entitled to 5 vacation days. When you take unpaid vacation, a deduction is made from your salary for each vacation day.
Vacation days when you work part-time
If you work fewer than five days a week, the number of vacation days is reduced. This is done to ensure that people who work fewer days a week do not get more vacation than those who work five days a week. The table below shows how.
The table shows how many vacation days you are entitled to per year depending on how many days a week you work and how many vacation days you would have had if you worked five days a week.
Number of working days per week | Vacation quota | 28 vacation days | 31 vacation days | 35 vacation days |
---|---|---|---|---|
4,5 | 1,11 | 26 | 28 | 32 |
4 | 1,25 | 23 | 25 | 28 |
3,5 | 1,43 | 20 | 22 | 25 |
3 | 1,67 | 17 | 19 | 21 |
2,5 | 2,0 | 14 | 16 | 18 |
2 | 2,5 | 12 | 13 | 14 |
1,5 | 3,33 | 9 | 10 | 11 |
1 | 5,0 | 6 | 7 | 7 |
0,5 | 10 | 3 | 4 | 4 |
If you or your child get sick on your vacation
Saved vacancy
If you are entitled to more than 20 paid vacation days in a calendar year, you may save one or more vacation days for another year. You must take at least 20 paid vacation days during the calendar year. You may have a maximum of 30 vacation days saved up. If you have reached the maximum number of vacation days, you must take your entire annual leave.
Vacancy allowance and holiday pay
When you take your vacation, you will receive, in addition to your regular salary, a vacation allowance equal to 0.49 % of your current fixed salary (monthly salary including fixed salary deductions and fixed salary allowances) for each paid vacancy day. The allowance is paid with your salary at the time of your vacation.
Holiday pay is paid if you leave your employment at Stockholm University and have paid vacation days left. For each vacation day, you receive 4.6 % of your fixed salary, plus holiday pay. Certain deductions may result in a lower payment.
Planning your vacation
It is the employer's responsibility to ensure that you as an employee receive and take your vacation. At Stockholm University, this means that the responsibility lies with the head of department, director and head of office. It is ultimately the employer who decides when you get your vacancy. As an employee, you have the opportunity to make requests.
The main vacancy period is June–August, during which time most staff are entitled to take four weeks' continuous vacation. Before planning your main vacation, you should submit your requests to your manager. Your manager will then plan your vacancy based on the needs of your organisation and the wishes of your employees. The planning of the main vacation must be completed by 30 April.
Your entire annual leave must be taken, unless you notify your manager that you want to save a certain number of vacation days or there are special reasons (for example, you are on full-time long-term sick leave). Remember that the current year's vacation must always be taken before you can use the vacation days saved.
If you plan to take parental leave in conjunction with your main vacation, you must notify of this at the same time as you notify of your vacation wishes. If you are taking vacation in conjunction with other leave, it should preferably be taken before or after the leave.
If you have a teaching post, your vacation should be taken primarily during non-teaching time. If you wish to take your vacation at another time, your employer may decide to do so.
