On this page you will find relevant information about IT and IT support.

Find solutions to your IT problems whenever you need them! In the self service portal you will find FAQ’s, guides and instructional videos for various IT systems and software. You can also place orders for IT Services, keys and keycards.

Everything hasn't been translated into English but we are constantly adding information in English. Hopefully you can find what you're looking for, if not you are always welcome to contact our IT-support.

If you need to work from home, it can be useful to know what tools are available to help you work remotely.

VPN

You can access most systems from home without doing anything in particular, but for example, if you need to access documents in your home directory or shared folder from outside, you must use remote access (VPN). VPN is available to all employees.

Box

Box is a cloud storage and synchronization service that can be used by all employees. Files stored in the service are available on the web and in your computers and mobile devices so you always have access to your files wherever you are.

However, keep in mind that you should not process sensitive personal data in Box.

Zoom

The e-meeting service Zoom is a user friendly tool for organizing meetings online, no matter where you are. Zoom is available to anyone with a university account; both employees and students. With Zoom, you can teach or participate in meetings remotely and also chat and share files with colleagues. You can also record a lecture.

Get started with Zoom

If you have trouble starting the meeting, try to run the meeting without video.

Every group/project or similar can create a virtual meeting room where you can “hang out”, ask each other questions etc. Everything that you normally would have asked the person next to you can move to the virtual room.

To create a virtual meeting room go to Zoom, choose chat, click on + next to "Recent and choose "Create a Channel". Name your room and invite the members. Done!

Teams

IT Services has received many questions about using Microsoft Teams. There is an ongoing project to implement Microsoft 365 but some technical changes need to be implemented before we can offer more Microsoft products, such as Teams. IT Services is looking into that at the moment and more information will follow.

The services provided by IT Services support the core activities of the University in a variety of ways, including support for staff and students, various types of communication services, University-wide identity management, and the comprehensive management and development of a number of University-wide IT systems.

If you don't have an eduID account, contact the SUKAT administrator at your department/equivalent to receive a confirmed One-Time Code, then go to su.se/activate

What is phishing?

Phishing is a term used to describe an attempt by someone to gain access to your login details or other sensitive information (bank accounts, PIN codes, etc.).

If you suspect that your account has been hijacked (= someone has accessed your login details), you can change your password in Kontohantering.

You can recognise a phishing email by checking the following

  1. Is the email from an unknown sender?
  2. Is the grammar incorrect? (Scammers often use Google
  3. Translate to translate into Swedish)
  4. Does it contain an unknown file? (Never download unknown files, they may contain viruses or other malware)
  5. Is there a clickable link?
  6. Is the website the link is to unknown? (To check the link - roll over it to see a preview)
  7. Does the email ask for login details or other personal information?


If you suspect the message is spam or a phishing attempt, contact IT Support for analysis.

Please note that IT Services will NEVER ask you for your password!

My Phone is a web application that allows you to manage your phone extension (including your MEX extension). For example, you can refer your phone extension when you are in a meeting, on holiday or wherever you are. My Phone automatically adapts to different screen sizes (e.g. smartphone, computer or tablet) and provides a consistent user interface regardless of what type of device you use.

The benefits of My Phone are many. The service allows you to make your own settings on your extension when it suits you and wherever you are. This frees up operator time, which in turn improves service for callers to the university switchboard.


Some examples of what My Phone can do for you:

Administration

  • Manage your own referrals, e.g. meeting, lunch, holiday, out for the day, etc.
  • Create your favourites for your frequently used voicemails (quick voicemails)
  • Choose whether you want your extension to be forwarded to other numbers when you are busy or do not answer.

Search for staff (NB in the switchboard system, not in SUKAT!)

  • You can search by name, job title, telephone number or institution.
  • You can see the referral information of other extensions, e.g. meeting, lunch, holiday, etc.
  • You can see the status of an extension (whether the person is busy or not).

Communication templates

If you have voicemail on your extension, it is important that you record your own welcome message.

If you do not want others to be able to leave messages for you, you can deactivate this feature by contacting your department or contact person.

How voicemail works

 

There are a few things you should think about before you go on leave.

Remember to let people know that you are on holiday. Create an out of office reply in your email, refer your phone extension and remember to update the phone number or opening hours in your voicemail.

The easiest way to refer your extension is to use the My Phone online service - you can do it in advance so you won't forget.

Please also update your voicemail greeting with the correct opening hours if necessary.

Please report any changes to the opening hours of your department during the holidays via Serviceportalen. This is particularly important when the admission letters are sent out and during the registration period.

New orders and changes to university accounts (SUKAT)

At the beginning and end of the semester, lots of people start and stop working at SU, which increases the workload for the SUKAT administrators. Please remember to submit orders for new accounts at least two weeks before a new person is due to start. Are you the SUKAT manager in your department/organisation? The head of department can authorise several people to place SUKAT orders, which can be useful during holiday periods.

Stockholm University has two networks, eduroam and SU, if possible, use eduroam.

What is eduroam?

eduroam is an international collaboration between universities and colleges around the world, in order to facilitate the use of each other's wireless networks. Stockholm University is part of the collaboration, which means that people from other places in the world can use our network with their local logins. Similarly, staff and students at SU can connect to the network at other universities affiliated without having to log in every time.
eduroam also works on a number of libraries in Sweden and thanks to a collaboration between eduroam and The Cloud also in train stations, airports and ports.

To connect to the wireless network type in a web address in your browser. You will automatically be redirected to the login page for the service.
Choose one of the different login methods described below.
After login, a page that informs you that you are now logged into the wireless network will be displayed.

To get online you must login. You can do this as follows:
As a student or an employee, use your University account.
As a temporary guests you can use a One Time Code (This may be obtained from the department you are visiting).
