Property issues
All property-related matters are handled via the Service Portal. This is where you report faults, request changes to space requirements and manage keys and access cards.
Report a fault
You report faults, damage or other issues in the University’s premises via the Service Portal.
Urgent issues outside office hours
For urgent problems with locks, keys or the access control system in the evenings or at weekends, contact the campus security guards.

Changes to space requirements
If your organisation’s space requirements change – for example due to refurbishment, reorganisation, new ways of working or space optimisation – you should submit this information via the Service Portal.
The Property Management Office handles matters relating to the planning, adaptation and development of the University’s premises.
Locks, keys and access cards
Via the Service Portal, authorised persons can order
- access cards
- alarms
- door codes
- entry phones
- keys
- lock cylinders
- opening hours.
If you do not have authorisation, contact your Head of Department or administrative manager.
The Property Management Office is responsible for the operation and maintenance of locks, card readers and access control systems.
Change opening hours
Changes to opening hours and card reader settings must be ordered no later than three days before the change is to take effect.
Collecting and returning keys and access cards
Keys can only be collected from Service Centre Frescati.
Access cards can be collected from both Service Centre Albano and Service Centre Frescati.
Authorisation to order or collect keys and access cards
Authorisation is granted by the Head of Department, administrative manager or the SUKAT administrator. They can add or remove authorisation for staff at their own department or unit.
No case needs to be created in the Service Portal.
