Our room booking procedures.

All scheduling and room booking is done in TimeEdit.

The schedule is created a full year in advance and copied from the previous year. If you wish to make any changes to the schedule, this must be communicated to Margarita Shiraishi at least 1 week before the final scheduling. The schedule is finalized on the 5th Monday of each semester.

Any schedule adjustments should be made in consultation with the Director of Studies.

If you want to book a room for something other than teaching, you should provide the following information:

  • Purpose (course, meeting, conference, etc.)
  • Person to be named on the booking
  • Room
  • Time

Bookings are greatly facilitated if you first check that the course you want to make a change for does not have lectures on the day and time you wish to make a booking. You do this by searching in TimeEdit:

To TimeEdit

Select the staff entrance, log in with your SUKAT account and then select "Schedule search" (list or graphic view, your choice). In the dropdown menu next to "Search", select "Course" and in the search box enter the desired course code to display the bookings. Search for the desired date range and click on "show schedule".

Teaching for our courses mostly takes place in rooms in the Southern Houses (until Fall Term 2027, when the department temporarily relocates to Kräftriket). Room assignments are shown on the schedule for each course. Rooms in the Southern Houses are, with some exceptions, indicated by letters followed by three digits. The letters denote the building where the room is located, and the first digit indicates the floor.

Lecture halls, classrooms, and teaching rooms on the Frescati university campus are equipped with AV technology. All classrooms and lecture halls have desktop computers.

Before teaching

  • Always double-check in TimeEdit that you go to the correct room at the correct time.
  • The room belongs to whoever is booked in TimeEdit.
  • If someone else claims the room, there are three ways to check who has the right to use it: via TimeEdit on a computer, by scanning the QR code on the room’s door, or on the schedule display screens located on the 3rd floor in buildings B–F of the Southern Houses.
  • Respect the rules posted on each room’s door.

During teaching

  • Moving furniture between rooms is not allowed!
  • If you rearrange furniture, you must restore it according to the layout plan posted on the door of each room.
  • Use the microphone if one is available. This helps everyone hear you better.
  • Keep in mind that the room must be vacated at least 5 minutes before your booked session ends.
  • Report any malfunctions! Phone numbers are posted inside the rooms.

After teaching

  • Log out of the computer, but do not turn it off.

Booking Conference Rooms in F6

You book the room yourself in TimeEdit. Select the staff login, log in with your SUKAT account, and then choose "Room Booking." You cannot book the conference room on days when you are already booked to teach in another room. In such cases, you will receive an error notification indicating a double booking. Please contact Margarita Shiraishi if you need to book the conference room simultaneously with another room booking.
