The Property Management Office is responsible for cleaning services at the University. Here you can find information about cleaning, deep cleaning, floor care, window cleaning and other cleaning services.

 

Please note: For fault reports and other services in House 3 in Albano, Kista, Filmhuset, Tovetorp and Tarfala, contact the respective property owner.

Contact person for cleaning services

Each department or unit should have at least one contact person for cleaning services.

The contact person

  • notifies the Property Management Office of any changes
  • places orders via the Service Portal
  • acts as the contact point ahead of annual floor care, deep cleaning and window cleaning.

Heads of department or administrative managers add and remove contact persons in the account management system.

Heads of department or administrative managers manage the role in the account management (kontohanteringen).

  • Go to account management.
  • Search for the person who should be assigned the role or removed.
  • Open Systemrättigheter (System rights) » Kontaktperson för lokalvård
  • Select Redigera (Edit) » Tilldela (Assign) or Ta bort (Remove).
  • Click Assign or Remove to save.

Regular cleaning

The University’s premises are cleaned regularly during term time. Here are examples of what is included in the regular cleaning.

Open-plan offices and individual offices are cleaned weekly during term time.

Cleaning includes

  • floor cleaning
  • vacuuming of carpets
  • emptying of recycling units
  • cleaning of door handles and light switches.

Activity-based workplaces are cleaned daily during term time.

Cleaning includes

  • emptying of recycling units
  • floor cleaning
  • vacuuming of carpets
  • wiping of tables, furniture and clear surfaces
  • wiping of computer screens
  • cleaning of door handles and light switches
  • cleaning of glass partitions (cleaned monthly).

Kitchenettes and lunch rooms are cleaned daily during term time.

Cleaning includes

  • emptying of waste bins and cleaning of recycling units
  • floor cleaning
  • wiping of tables and clear surfaces
  • cleaning of microwave ovens in staff areas (cleaned weekly).

Toilets and anterooms are cleaned daily.

Cleaning includes

  • emptying of paper and sanitary bins
  • floor cleaning using specialised equipment
  • cleaning of fixtures and fittings
  • replenishment of consumables.

Teaching rooms and meeting rooms are cleaned daily.

Cleaning includes removal of litter and cleaning of

  • floors
  • table surfaces
  • whiteboards and trays
  • keyboards, screens and cables
  • fold-down desk surfaces in lecture halls (cleaned monthly).

Window cleaning

Window cleaning is carried out during the autumn semester. Before the work begins, the contact person will receive information about dates, times and any necessary preparations. Notices will also be displayed in entrances, corridors and lifts.

  • Clear window sills and remove items close to the windows.
  • Make sure all windows are closed.
  • Inform the contact person for cleaning services of any special considerations.

Deep cleaning

Deep cleaning of the University’s premises is carried out every summer. This cleaning is more extensive than the regular weekly cleaning.

Before the work begins, the contact person will receive information about dates, times and any necessary preparations. Notices will also be displayed in entrances, corridors and lifts.

Surfaces and fittings

  • Removal of stickers as well as tape and adhesive residues.
  • Removal of stains from walls and doors.
  • Cleaning of doors, handles, frames and light switches.
  • Cleaning of glass panels in doors and walls.
  • Cleaning of tables and other exposed horizontal surfaces.
  • Cleaning of noticeboards, picture rails, window sills and open shelving.

Floors and ventilation

  • Vacuuming and damp mopping of floors.
  • Cleaning of floor drains in shower rooms.
  • Cleaning of radiators, including behind the radiators.
  • Cleaning of cable trays, pipes and ventilation fixtures.
  • Cleaning of light fittings.

Kitchenettes and common areas

  • Vacuuming of sofas in kitchenettes, lunchrooms and communal areas.
  • Cleaning of waste bins.
  • Cleaning of kitchenettes, including worktops, sinks, taps, tiled surfaces and areas around microwave ovens.

Toilets and changing rooms

  • Cleaning of toilets and changing rooms, including sanitary ware, mirrors, the exterior of lockers/cabinets and shower areas.
  • Refilling of consumables in kitchenettes and toilets.
  • Replacement of toilet brushes when necessary.

What is not included:

  • cleaning of refrigerators
  • cleaning of microwave ovens, except in student areas
  • cleaning of office chairs.

Additional cleaning services can be ordered through the Service Portal.

Order additional services

To enable the cleaning staff to access all areas, please:

  • remove personal belongings from desks, chairs and window sills
  • move items placed close to walls, radiators and ventilation units
  • empty cupboards and shelves that are to be cleaned internally, for example lockers.

Floor care

Floor care is carried out during the summer. The work is completed in stages to minimise disruption to ongoing activities. Before the work begins, the contact person will receive information about dates, times and any necessary preparations.

Mark rooms that should not receive floor care

If a room should not receive floor care, a notice must be placed on the door stating: “No floor care in this room”.

  • Remove everything from the floor.
  • Label furniture with the room number.

For best results, the floor should be completely clear. Furniture on wheels will be moved by the contractor. If any items remain in the room, polish will be applied around them.

All cleaning services are adapted to the needs of the organisation. Additional services can be ordered separately. These services are ordered via the Service Portal and invoiced by the contractor.

If you are not satisfied with the cleaning

If anything has not been cleaned or if you are not satisfied with the result, please report the issue in the Service Portal as soon as possible. This enables the University to follow up the matter with the contractor.

Environmental certification

Stockholm University is environmentally certified. All chemical products, except for graffiti removal and polish removal, comply with the Nordic Swan Ecolabel or equivalent.

The contractors are certified in accordance with SS EN ISO 14001.
