The work of the Environmental Representative

Each department or equivalent unit at Stockholm University should have at least one Environmental Representative who coordinates and leads the operational environmental work within the department (or equivalent).

The environmental newsletter (Miljöbrevet) contains information about the university's environmental work. It is sent to the university's Environmental Representatives about four times per term. To subscribe to the environmental newsletter, enter your email address here.

We recommend starting with these documents:

Become acquainted with your department's (or equivalent) emissions in the Climate Tool and your department’s (or equivalent) emissions from air travel in Qlik Sense.

It is essential that your colleagues know whom to contact regarding environmental issues. Inform them that you are the environmental representative.

Join your local RALV (Council for the Work Environment and Equity) and/or form a local environmental group.

Environmental training

The university's digital learning platform Athena offers environmental training for Environmental Representatives that takes about 30 minutes to complete. If you lack access, contact your Environmental Coordinator or the central environmental function.

Environmental actions plan

Each department must annually, by December 31, establish a local environmental action plan for the coming year. Administrative offices can prepare environmental action plans but are not required to, as the university administration has a joint action plan with environmental measures. The Environmental Representative is responsible for proposing an environmental action plan to the department board (or equivalent). This responsibility cannot be further delegated from the department board.

Routine for environmental action plan

Make sure you use the up-to-date template for the environmental action plan.
You can get feedback from your Environmental Coordinator on drafts of the environmental action plan before it is finalised. This is usually offered during a specific period in the autumn semester.

Once the environmental action plan is finalised, it should be uploaded to the environmental coordination folder in Box.

Annual review of local environmental work

Each year, the department (or equivalent) should conduct a review of the local environmental work together with the department’s management. The Environmental Representative is responsible for convening the review and preparing the materials for it. The review should take place no later than April 30 and be minuted and archived.

Following-up

To make the right priorities and follow up on local environmental goals, you should use the Climate Tool, which shows emissions at both the general and local levels. To show how we travel by air and how much we emit from air travel, there is the "Flight App" in Qlik Sense.

Environmental survey

Each year, the Environmental Representative must complete a survey about the local environmental work and compliance with binding requirements. It is sent out in December and must be completed by February 1. It takes five to ten minutes to complete.

Environmental audits

As the Environmental Representative of your department or administrative office, you should be present during internal environmental audits and external environmental audits. A department (or equivalent) is audited every three years by the internal environmental audit. External environmental audits occur less frequently.

An environmental deviation is a departure from environmental legislation, the university's local rules and routines, or the environmental management system. These should be reported in the IA system. See information about IA here:
