Rules for financial compensation to departments in connection with assignments in university bodies

On August 30, 2012, the President of Stockholm University adopted Rules for financial compensation to departments in connection with assignments in university bodies (ref. no. SU 70-1924-12).

The rules have been reviewed for timeliness in 2025.

  • In the first paragraph, first sentence, the following shall be added after ”department”: ”or faculty centres (hereafter called departments)”.
  • In the second paragraph, first sentence, the following shall be removed: “and researchers”
  • In the third paragraph, first sentence, the following shall be added after “head of department”: “or director reporting directly to the dean”
  • In the end of the document the following clarification shall be added: “Responsibility for follow-up: The involved parties are responsible for the application of the internal rules. The compliance of the rules is considered to be self-regulating and deviations do not entail any significant impact on the University as a whole. No central follow-up of the compliance of the rules is therefore carried out.”

The text below is a translation of the rules to English. In case of a discrepancy between the Swedish and the English version of the rules, the Swedish version will prevail.

On 25 November 2004, the President decided on rules for financial compensation to departments for assignments as members of university bodies appointed by the President. The rules must be revised due to the SUHF model for full cost accounting.

Assignments as a member of university bodies are given to teachers and researchers who, due to their commitment and special expertise, are well suited to put forward the departments' perspective. Such assignments give the teacher representatives the opportunity to influence decisions and are therefore important not only for the department in which the representative is employed but for the department level as a whole.

Assignments as a teacher representative in a university body shall be fulfilled within the framework of the employment and within the framework of the employee's working hours. The head of department must take assignments of this kind into account in the operational planning.

Departments are normally not compensated for the loss of working time resulting from assignments as teacher representatives. Exceptions are made for assignments comprising 50 percent of full-time or more. The costs of compensation shall be covered, where possible, by funds available to the respective university body.

To avoid that the loss of working hours due to assignments only affect certain departments, it is important that assignments are distributed among departments. It is also important that assignments are designed so that time loss is minimized.

When the President decides on financial compensation for assignments as a member of university bodies appointed by the President, the decision shall state the scope and term of office. The financial compensation received by the department is the employee's salary plus a flat rate of 50 percent. If the surcharge does not cover the department's indirect costs, the excess part must be financed by the respective department.
