New staff website in Sitevision

The University is acquiring a new web publishing system/CMS. Sitevision, as the new system is called, replaces Polopoly and the staff website is the first to be moved to Sitevision.

The aim of the project is to have a digital workplace that supports employees in their tasks and strengthens collaboration within the organisation.

The aim of the new staff website is to make it easy to find information, systems and people, and to make communications accurate, searchable and, where necessary, confidential.

The project is led jointly by the Communications and IT departments, with a reference group of more than 20 people representing different functions, roles and parts of the university.

The content work is carried out by a small group of editors within the administration together with the project team.

How does the new staff website work?

Background to the change of web publishing system

The current staff website does not fulfil the requirements of the law on accessibility. It only contains information from the university administration and is not structured by target group but by subject and sender.

The current web publishing system Polopoly will not be upgraded in the future and Sitevision is a modern tool that fulfils our needs.

The university's current web publishing tool Polopoly will not be upgraded in the future and Sitevision is a modern tool that fulfils our needs in terms of accessibility, security and functionality.

The Swedish staff website was the first to be launched and was launched in mid-April. The English one will be launched once the Swedish one is in place. After that, external websites will also be migrated. The plan for this will be communicated in autumn 2024.

Sitevision is more modern with a good internal search engine.

The new staff web will be public for the most part, but there may also be pages that only logged-in employees can access. If you are logged in, you can also save favourite pages that you want to access quickly.

The main difference is that we are moving from a deep structure to a flat structure. On the former staff website, there were pages that had sub-pages which in turn had several sub-pages. The new staff website will not have as many levels, but has main articles which in turn can have related articles under them – just as it already works on external websites.

To make it easy for visitors to find what they are looking for, the content is structured according to two principles: hierarchical and thematic. Hierarchical – with clear divisions into top entries, content sections and main articles. Thematic – with pages that bring together different types of content, such as articles, documents, tools but also topics.

Cross-linking between different sections and areas is also a new feature.

Yes, the Swedish version was launched in April and the English version when all Swedish content is in place.

At the launch of the English staff website, at least existing content is in place, but the ambition is to develop more content for our international employees in the future. The English website follows the same structure as the Swedish staff website and has the same functionality..

After all the administrative departments have cleaned up and checked the topicality of their material on su.se/medarbetare, the work of creating a clearer structure continues. All material is then reviewed to synchronise content.

Content review takes place in parallel with technical development. After structure and content work has been done together with editors, user tests of structure, navigation and functionality are carried out with various reference groups. After the test launch for a larger group, the Swedish staff website is released. The English version and staff website will be released in stages after Swedish content is in place.

There is no budget to develop this but we continue to explore the possibilities for both departments and administrative departments.

With MS365, new opportunities will be created for collaboration and together the systems will give employees the opportunity for, for example, collaborative workspaces in different ways. But this will be informed about when it becomes relevant.
