Checklist student representation

This checklist aims to support new groups or bodies at the University that shall have student representatives. Student representatives are always appointed by the Student Union, but we as a university need to provide the Student Union with information about what groups exist.

The checklist is mainly based on the University's Regulations for Student Influence.

1. Decide whether the group should have student representation

If the group or body has activities that have a bearing on the courses or programmes or the students’ situation, it must have student representation. This applies to both temporary and permanent groupings. Examples include boards, committees, panels, project groups, forums, working groups, reference groups or councils.

2. Send a request for a student representative to the Student Union

Depending on where in the University the group that needs a student representative is located, there are different procedures for requesting a student representative.

Describe briefly the function of the group, how many members are in the group and indicate when the first meeting is. Be out in good time, so that the Student Union has the opportunity to appoint a student representative before the first meeting.

The request should be emailed to the relevant student council or PhD student council, with a copy to studentombud@sus.se and to the department's contact person for student influence. Contact details for the councils can be found via the links below:

Students at Stockholm Business School are represented by Föreningen Ekonomerna (The Business Association at Stockholm University) which can be contacted via studentombud@foreningenekonomerna.se.

Students at the Department of Computer and System Science are represented by Student Union DISK, which can be contacted via studiebevakning@disk.su.se.

Faculties, academic areas and university-wide level

The request should be emailed to studentombud@sus.se with a copy to the contact person for student influence.

3. Introducing new student representatives

Each new student representative should be introduced to the functioning and working methods of the group. The representative has the same responsibilities as other members, such as attending meetings.

Facilitate the student representative's participation and influence by, for example, actively asking questions directly to the student or having a standing item on the agenda where the student can raise questions. Another tip is to go through the agenda with the student before the meeting.

4. Compensation to student representatives

Student representatives studying in the first or second cycle shall be compensated in SEK. The compensation to a student representative is based on attendance at meetings. The compensation is paid by the department, faculty, academic area or administrative office to which the group belongs. One possibility is to bundle the payment into one payment per semester. Another is to make the payment at the end of the assignment.

5. Certificates for student representatives

If a student representative wishes to have a written certificate of attendance at meetings, this will be issued by the chair or equivalent of the group. Certificates for the assignment itself will be provided by the Student Union.
